What type of information
Personal information we collect is information that can be used to identify you. For example:
- Personal details (name, title, date of birth, address, email and telephone number etc.).
- Financial information (payment details such as credit card or bank details and Gift Aid declarations)
- Details of your interests and preferences (such as the ways you support us or types of interests/activities you take part in with us).
- If you are a volunteer, we may request information such as references, medical conditions, details of emergency contacts etc. to protect you or us.
How we collect this
We will only collect personal information that you have consented to give to us. We will ask for consent to send you information and keep in touch with you. We will ask you how you would like to be kept in touch and areas that interest you.
We will collect personal information when you or your organisation enquire or register to take part in our activities, training and events, place an order, volunteer with us, or subscribe to our newsletter or one of our services.
We may collect information from social media where you have consented to do this, or if you post on one of our social media pages.
We sometimes receive personal data about individuals from third parties. For example, if we are working with a contractor or partner on a project and you provide your details to them.
How we use your data
We will only use your personal information with your consent, or where it is necessary to:
- enter into, or perform, a contract with you;
- comply with a legal duty;
- protect your vital interests;
- use for our own (or a third party’s) lawful interests, provided your rights don’t override the these.
We may use your information in a variety of ways including to:
- Send you information about our latest news, projects, volunteering, training, activities, events and fundraising via our e-newsletters and email.
- Process your registration to become a volunteer.
- Process your registration to a training session, activity or event.
- Send you information about volunteering opportunities.
- Send you information about leaving a legacy.
- Maintain our database of volunteers, supporters and people that have attended training, activities and events.
- Process orders and purchase of products or services.
- Carry out research and analysis of supporters, donors and volunteers to better understand patterns and trends, how we could better communicate with you and to provide feedback to grant makers and Morecambe Bay Partnership’s Board of Trustees.
- Record any donations that you might make to us, including when and how much you gave, and if you have made a Gift Aid declaration.
- Understand how you have supported us, for example how you have helped us with volunteering or what activities you’ve been involved in.
- Group you with others who have undertaken similar activities or training, e.g. a list of regular Beachcare volunteers or those who have done oral history training.
- Record any accidents/incidents that might occur on our property, at one of our events or when volunteering.
- Update your information to respect your choices and preferences.
Disclosing and Sharing Data
We will never sell or pass on your personal information to other organisations to use for their own purposes.
We may share your personal information, when necessary, with volunteer coordinators, who will contact you only about events and activities that you have said you are interested in. This contact will be carried out under guidance to keep your information confidential and secure.
We may share your personal information, when, necessary with suppliers or contractors that we have asked to carry out a service on our behalf for purposes such as communications, event or training delivery or research. These activities will be carried out under a contract which imposes strict requirements on our supplier/contractor to keep your information confidential and secure.
We will share your information when we are legally obliged to at the request of a government or law enforcement authority.
We may share your information if there was an overriding need e.g. to protect your safety if there was an emergency at an event we were running. Any third party would be required to delete all shared data once the matter was finished.
How we communicate with you
We will only contact you for marketing communications if you have told us that we can, e.g. via subscribing to our newsletters.
You can find out what personal information we hold about you and update your personal information by contacting us.
You can request changes to your personal information or removal from our records at any time by contacting us.
How we protect data
We take the security of our supporters’ personal information very seriously and take appropriate steps to ensure your data is securely stored. We store physical and electronic data. Physical data is stored in a secure location in our office. Electronic data and databases are stored on secure computer systems. In both cases we control who has access to this information.
Your personal information is only accessible to authorised personnel and all personal information is transferred using secure processes. All staff and volunteer coordinators work in accordance with our data protection policy and procedures when handling personal data.
We only hold your personal information for as long as is necessary for the purpose it was collected for. Every two years we will review what information we hold and delete what is no longer required. If we dispose of your information, it will always be done so securely.
